The work behind the work

Four jobs every services firm does, every month.

  1. 01

Invoice each client on their own terms.

Set a client's payment terms once and every invoice's due date follows them. A client who pays in another currency can be billed in it, while your books stay in yours.

  2. 02

See who is late, and by how long.

A/R aging lists every client who owes you by how overdue they are. For a late invoice, Remind drafts the wording for you to paste into your own email.

  3. 03

Pay contractors, and keep their W-9s in view.

Enter their bills and pay by check. Tick W-9 on file for each one, and the 1099s report shows who may need a form and what is still missing before January.

  4. 04

Know which clients carry the business.

Sales by customer ranks revenue by who paid it, biggest first, and the profit and loss puts months side by side.

Week one · Invoice

The retainer and the hosting, on one invoice

Give each kind of work its own line and its own income account, with sales tax where you charge it. The invoice carries your logo and downloads as a PDF, and the entry behind it shows every line.

  • Each client's default tax rate, changed on an invoice when needed
  • A PDF or a view link to share; emailing from Qetaab depends on an outside service
  • Payment status comes from the books, not a box you tick

Week two · A part payment

A client pays half. The rest stays in view.

Record what arrived against the invoice it pays. The invoice shows what has been paid and what is still due, and the client stays on A/R aging until the balance is cleared.

Week three · Bills and contractors

Software, freelancers and everything else you pay for

Enter supplier and contractor bills as they arrive and pay them by check, printed on your own stock. Keep the bill's PDF or a photo of the receipt with its entry, and let a bank rule file the subscriptions that land the same way every month.

  • Bills listed by due date, with what is still owed
  • W-9 on file, ticked for each contractor
  • Bank rules you preview before they run

Any day · One client

Everything for one client, in one search

Filter the journal by client, dates, account or amount, then save the search to run again next month. Open any entry to see its lines, where it came from and any correction made to it.

Find any transaction

Month-end · Margin

Your margin, as a share of income

The profit and loss shows revenue, cost of revenue and gross profit, each as a share of income, for any dates, and compares periods or months side by side. Choose an account and the ledger opens on the entries behind it.

With your accountant

Questions answered where the entry is.

Instead of a list of queries at year-end, your accountant works in your books, and each question stays with the entry it is about.

  • Flag an entry with a question

Ask which client job a payment was for. The entry waits in Needs review until someone answers, and the question and the answer stay on the record.

Plain answers

What services firms ask before they move their books.

Can clients pay my invoices online?

Not through Qetaab yet. Send the invoice as a PDF or a view link and record the payment when it arrives. Online payment depends on a payment service that is not live in the pilot.

Can I invoice a client in another currency?

Yes. Set the client's billing currency, and each of their invoices carries its currency and exchange rate while your books stay in your home currency. An invoice in another currency can't carry sales tax.

Does Qetaab file 1099s for me?

No. It keeps track of who may need one: tick W-9 on file for each contractor, and the 1099s report lists them with anything still missing. Filing stays with you or your accountant.

Can Qetaab chase late invoices for me?

Remind prepares the wording for an overdue invoice and you copy it into your own email; nothing is sent from that screen. Emailing invoices from Qetaab depends on an outside email service and your plan's allowance.
