Record bills and payments

Supplier bills are on the books when they arrive, A/P Aging shows what is owed, and paying a bill never records the expense twice.

Who this is for
Owner, admin or bookkeeper.
Before you start
  • The vendor exists, or you are ready to create them from the bill.
Availability
Bills and check payments work in the hosted app and the local build. Bank transfer (ACH) payments depend on a payout provider and are not available in the pilot.

Steps

  1. Open Bills (under Money out) and choose + New bill. Type the Vendor, set the Date and Due date, an optional Bill number and Memo, and the Currency if it is not your home currency.
  2. Add lines with + Add line: the expense or asset account, a description and the amount. Choose Save bill.
  3. To pay, choose Pay bills, choose the Vendor to see their open bills, set Pay from and How to pay — Write a check or Bank transfer (ACH) — and the amount against each bill. Choose Pay.
  4. A check goes to the Checks print queue (tick Print later to hold it). A bank transfer is prepared and then sent from Vendor Payments.
  5. When the payment later appears on a bank statement, Bank Import matches it to the payment already in the books — do not categorise it again as a new expense.

What you should see

The bill shows on A/P Aging until paid; the payment reduces the vendor balance and the bank account.

If it goes wrong

If a statement line for a bill payment is offered for categorising rather than matched, choose Find a match on that row and pick the payment. If you already posted it twice, undo the imported one from the Categorized tab.
