Invoices & bills

Receive a customer payment

A customer payment is recorded against the right invoices and the selected cash or bank account.

Who this is for
Owner, admin or bookkeeper.
Before you start
  • An open invoice for the customer.
  • An account marked as cash in the Chart of Accounts.
Availability
Available in the hosted app and the local build.

Steps

  1. Open Invoices and choose Receive payment.
  2. Choose the Customer to see their open invoices. Set Deposit to (the cash account the money went into), the Date and the Amount received.
  3. Type the amount to apply against each open invoice in its Apply column. A customer with no open invoices can still have a payment recorded with nothing applied.
  4. Choose Record payment.
  5. The standard Undeposited Funds account is not offered in this payment form yet. If you need to hold a customer payment there before banking it, contact support before recording it; do not choose an incorrect bank account to get past the form.

What you should see

The invoice shows Partially paid or Paid, the customer’s balance falls on A/R Aging, and the cash account rises.

If it goes wrong

If the toast says “Mark an account as cash in the chart of accounts first”, open Chart of Accounts, edit your bank account and tick that it is a cash account. If the payment was applied to the wrong invoice, reverse the payment entry from Journal Entries and record it again.
