Switching from QuickBooks Online
Your accounts, names, opening balances, history and open invoices and bills arrive in Qetaab from five QuickBooks Online exports, with a review before anything posts.
- Who this is for
- Owner or admin, with a QuickBooks Online login that can export reports.
- Before you start
- A switch date: the first day you will keep the books here.
- A backup of the Qetaab company if it already holds entries (Settings & Close → Save backup).
- Availability
- Available in the hosted app and the local build. Books → Import books is the front door; the classic Bring in your books card is under Settings & Close → Data & account. Your QuickBooks Online books are only read: nothing signs in to them and nothing changes them.
Steps
- Pick a switch date: the first day you will keep the books here. In QuickBooks Online, open Reports and export these five reports (Export > Export to Excel, or CSV): Account List; Customer Contact List and Vendor (Supplier) Contact List; Trial Balance as of the day before the switch date; General Ledger for the dates you want as history here; A/R Aging Detail and A/P Aging Detail as of the day before the switch date.
- Open Books → Import books and choose QuickBooks Online, or open the classic Bring in your books card under Settings & Close → Data & account (the two link to each other). Set the switch date and add the files: the classic card takes them all at once and recognises each by its headings; Import books asks for each report by name. A file that is not one of the five is refused and named.
- Select Review. Compare the counts and totals with QuickBooks Online: the trial balance debits and credits, the number and total of open invoices and bills, and the history total. Choose a type for any account the import could not map. Transactions under Needs attention are not posted; check them in QuickBooks Online.
- Select Import. Accounts and names that already exist are reused, opening balances post as one entry dated the day before the switch date, history posts one entry per QuickBooks transaction, and open invoices and bills become documents so aging works. Importing the same file twice adds nothing.
- Not imported: attachments, payroll history, recurring templates, bank feed connections and voided transactions (QuickBooks leaves them out of the General Ledger export). Save a backup before importing.
What you should see
The Trial Balance as of the day before the switch date matches the QuickBooks Online trial balance, and A/R Aging and A/P Aging list the same open documents.
If it goes wrong
A refused file is named with the headers it was expected to carry — re-export that report from QuickBooks Online rather than editing the file. If totals differ after Review, the usual cause is a General Ledger export for the wrong dates; export it again for the range you want as history.
