Backup & export
Export your books and understand backups
You know the difference between taking your own copy of the books, exporting them to QuickBooks, and the recovery of the hosted service — and which one you can do yourself.
- Who this is for
- Owner or admin.
- Before you start
- Books that balance; an export is refused while the trial balance does not tie.
- Availability
- Save backup and the QuickBooks export are available in the hosted app and the local build. Load backup is available in the local build only. Hosted recovery is operational, not a customer feature; no restore is available on request during the pilot.
Steps
- Your own copy: open Settings & Close and choose Save backup in the toolbar. A JSON file of every company you can see downloads to your computer. Keep it somewhere safe; it contains the whole books.
- Leaving for QuickBooks: under Data & account, Take your books with you counts the transactions, accounts and names, lists What does not come across, and offers Export to QuickBooks (.iif) or For the connector (.qbxml). Import the .iif with File → Utilities → Import → IIF Files, after backing up the QuickBooks company file.
- Any report: choose Excel, CSV or PDF in the toolbar of the report on screen.
- Restoring your own copy: in the local build, Load backup on the Settings screen reads a JSON backup into this browser. In the hosted app there is no self-service restore; the books live on the server, and your JSON backup is a copy you hold, not a way to overwrite the hosted books.
- The hosted service’s own recovery — database backups and point-in-time restore — is operated by Qetaab, not from inside the app. It protects the service; it is not a substitute for the copy you keep.
What you should see
A dated qetaab-backup JSON file, or a QuickBooks file with its explanatory note, is in your downloads.
If it goes wrong
If Export to QuickBooks is disabled, the books do not balance; the banner names the first problem. If a JSON backup will not load in the local build, the message says why — usually a file that is not a Qetaab backup.
