Bring in your books from QuickBooks Desktop or Xero
Your chart of accounts, contacts and journal history arrive from QuickBooks Desktop or Xero files, previewed before they post.
- Who this is for
- Owner or admin.
- Before you start
- Exports from the old system: for QuickBooks Desktop, Lists (.iif) from File → Utilities → Export → Lists to IIF Files, plus the Journal report exported as .csv for history (QuickBooks Desktop cannot export transactions to IIF); for Xero, Chart of Accounts (.csv), Contacts (.csv) and, for history, the Journal report saved as .csv.
- The date your opening balances are as of.
- Availability
- Available in the hosted app and the local build. Your QuickBooks Desktop or Xero books are only read. The QuickBooks Desktop connector is not available for download; Import books explains what it is.
Steps
- Open Books → Import books, or Settings & Close → Data & account → Bring in your books — the two link to each other. Import books offers each system in the modes that are ready for it; the classic card takes the files described below.
- Under Where are the books coming from? choose QuickBooks Desktop or Xero. (QuickBooks Online has its own five-file flow — see Switching from QuickBooks Online.)
- Choose each file the card asks for. A chosen file shows Replace so you can swap it before importing.
- Set Opening balances as of, then choose Preview. Read the counts and any warnings before going further.
- Choose Import into (your company). Accounts and names that already exist are reused rather than duplicated.
What you should see
The chart of accounts, customers and vendors and history appear in the books, and the Trial Balance ties.
If it goes wrong
If Preview lists accounts it could not classify, give them a type in the Chart of Accounts after import and re-check the Balance Sheet. If a file is refused, export it again from the old system in the format named on the button. Import a Journal file once: the classic import does not detect the same file a second time, so a repeat would post every entry twice — if that happened, reverse the second set from Journal Entries.
