How duplicates are caught on import

You understand why a line was blocked as a duplicate or matched instead of booked, so you can review possible duplicates before posting.

Who this is for
Anyone who imports statements or reviews imports.
Before you start
  • A statement imported at least once for the account.
Availability
Available wherever statement import is available.

Steps

  1. Every imported line is remembered against its bank account. A file that carries bank transaction IDs (OFX/QFX) is checked by those IDs; a CSV line is checked by its account, date, amount and description.
  2. A line already imported is blocked and counted as duplicates blocked in the review summary. It is not shown for review and cannot be posted again from this file.
  3. Automatic matching looks for an available posted entry with the same amount, direction and bank account within 7 days. A match is marked cleared without a new posting. A line outside that match is offered for you to decide unless an enabled rule adds it automatically. Use Find a match to look for an earlier payment. The summary counts matched lines as matched.
  4. Two genuine transactions with the same date, amount and description in a CSV (two coffees at the same shop) are told apart only when the bank supplies IDs. If your bank offers OFX or QFX, prefer it for accounts with repeated identical amounts.
  5. If a line was matched to the wrong entry, choose Change match on the row and pick the right one, or Not any of these to categorise it instead.

What you should see

The Categorized tab shows each imported line once, with whether it was matched or booked.

If it goes wrong

If a real second transaction was blocked as a duplicate from a CSV, add it as a manual entry from Journal Entries or a bank register line, and note why in the memo. If a matched line should have been a new expense, choose Not any of these and categorise it.
