Invoices & bills
Pay bills by check
A bill is paid with a check that carries the next number, prints from the queue, and clears the vendor balance.
- Who this is for
- Owner, admin or bookkeeper.
- Before you start
- An open bill.
- A bank account marked as cash.
- Check stock and a printer, if you print rather than hand-write.
- Availability
- Available in the hosted app and the local build. You supply the printer and check stock; print-and-mail services are not included.
Steps
- Open Bills and choose Pay bills. Choose the Vendor, set Pay from to the bank account and How to pay to Write a check.
- Enter the amount against each open bill. Tick Print later to send the check to the print queue instead of numbering it now, or type the Check number if you are writing it by hand. Choose Pay.
- Open Checks (under Money out) and choose Print queue. Under Waiting to print, tick the checks, confirm First check number in the tray and choose Print selected checks.
- The payments are already recorded before printing. After printing, answer Did the checks print correctly? Yes, they printed records the print confirmation and keeps the check numbers; No — put them back in the queue records no print confirmation or new number and keeps the checks waiting.
- The Register tab lists every check on the account with Reprint and Void.
What you should see
The bill is paid, the vendor balance falls on A/P Aging, and the check appears in the Register with its number.
If it goes wrong
If the print window is blocked, allow pop-ups for the page and print again. Answering No leaves the payments in the books and the checks in the print queue; it does not retire the proposed numbers.
