Banking
Create a precise bank rule
Recurring bank lines are categorised the same way every month, with matches you have previewed and no surprises.
- Who this is for
- Owner, admin or bookkeeper.
- Before you start
- A bank account with at least one imported statement, so you can preview matches.
- Availability
- Available in the hosted app and the local build.
Steps
- In Bank Import, open Rules and choose + New rule — or choose Create rule on a review row to start with its details filled in.
- Set the bank account, direction and any amount limits.
- Use whole word or phrase for TIN when CONSULTING should not match. Contains intentionally matches text inside a longer word.
- Rules check the description and available payee/name fields. Preview matches before saving. Leave Add automatically off when you want to review each match.
- Rules run in order and the first match wins. Automatic matching looks for an available posted entry with the same amount, direction and bank account within 7 days. A match is cleared without a new posting. A line outside that match is offered for you to decide unless an enabled rule adds it automatically. Check for an earlier payment before using Add automatically.
What you should see
The rule appears in the Rules table with its mode — suggests or adds automatically — and a hit count that grows as it is used.
If it goes wrong
If a rule catches the wrong lines, choose Edit and switch to whole word or phrase, add a direction or amount range, or Pause it. Undo any wrongly added lines from the Categorized tab.
