Set up sales tax rates
Invoices can carry the sales tax you collect, with a default per customer and an override per invoice.
- Who this is for
- Owner or admin. This guide is about entering rates, not about which rates apply to you — confirm those with your tax authority or accountant.
- Before you start
- The rate names and percentages you collect.
- Availability
- Available in the hosted app and the local build.
Steps
- Open Settings & Close, choose Sales & invoices and find the Sales tax card.
- Choose + Add a tax rate. Give it a Name (for example “Texas state + Austin”), a Jurisdiction and the Rate (%).
- Choose what This rate is the: Standard rate, Reduced rate (food or another relieved class) or Elevated rate (meals or another higher class). Choose Add rate.
- Set each customer’s default under Customers & Vendors → Edit → Sales tax. On an invoice, the Sales tax field starts from the customer’s default and can be changed for that invoice.
- To retire a rate, choose Edit and untick Active (offered on new invoices). Existing invoices keep the rate they were posted with.
What you should see
The rate appears in the Sales tax table and in the Sales tax field of new invoices. The Sales Tax report shows what was collected by rate.
If it goes wrong
If the Sales tax field on an invoice says “Add rates under Settings → Sales tax”, no active rate exists yet. A foreign-currency invoice cannot carry sales tax; the field is disabled on purpose.
